1. Overview

We value your privacy and comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
This policy explains how we collect, use, and protect your information when you use Shift Hub Pro.

2. Information We Collect

We collect and store the following information to provide app functionality:

  • Your name, email address, phone number, and business details

  • Client, shift, and invoice data you create

  • Uploaded documents, files, and expense records

  • Basic usage data (e.g. app performance, crash reports, device type)

You are responsible for ensuring any client data you upload is lawful and consented to under the NDIS or other relevant regulations.

3. Third-Party Services

We use Google Firebase to deliver secure app features, including:

  • Authentication (login and identity)

  • Cloud Firestore (data storage)

  • Firebase Storage (file uploads)

  • Cloud Functions (invoicing, notifications)

Data is stored in Google’s Australian data centres (Southeast region) and protected by enterprise-grade encryption.
Firebase is covered by Google’s Privacy Policy.

4. Analytics

We use anonymous analytics to improve app performance.
This includes crash reports, device type, and feature usage data.
Analytics do not identify you and are never shared for advertising.

5. How We Use Your Data

Your data is used solely to:

  • Provide app functionality

  • Send invoices and notifications

  • Contact you by email about your account, subscription, support, and service updates or offers related to Shift Hub

  • Support and improve the app

  • Maintain account integrity and security

  • Maintain audit logs for compliance with privacy regulations (Privacy Act 1988) and

NDIS requirements, including tracking data ccess, modifications, and exports

We do not sell, rent, or trade your data.

6. Data Security

We apply encryption in transit and at rest, access control, and regular security updates.

Access to your data is private to your account.

Developers only access data if absolutely required for troubleshooting, with activity logged.

We maintain audit logs of account activity (including authentication events, data access, rodifications, and exports) for security monitoring and compliance purposes. These logs are stored securely and are accessible only to your account. Audit logs are retained for a reasonable period as required for compliance with Australian privacy regulations and NDIS requirements.

We do not maintain independent backups.

Once your account or data is deleted, it cannot be recovered.

7. Your Rights

You can:

  • View or update your data within the app

  • Export your data

  • Request access to your audit logs (contact support)

  • Delete your account anytime (Profile →

Danger Zone → Delete Account)

When deleted, all personal and business data is permanently erased within 30 days, including any residual system copies. Note that audit logs may be retained for a reasonable period as required for compliance purposes, but will not contain personally identifiable information beyond your user ID.

8. Australian Privacy Compliance

We comply with the Australian Privacy Principles, including:

If a serious data breach occurs, we comply with the Notifiable Data Breaches Scheme, meaning we will notify affected users and the Office of the Australian Information Commissioner (OAIC). Our audit logs assist in identifying and investigating potential breaches.

9. Children and Consent

Shift Hub Pro is intended for professional support workers and adults (18+).By using the app, you confirm you have authority to handle client information lawfully.

10. Updates

We may update this policy periodically.
If significant changes occur, we’ll notify you through the app or by email.
